This is the 22nd edition of the Bear Hollow Village Homeowner’s Association Newsletter brought to you by your Board of Trustees.   This Newsletter will provide you with an update on things happening in our community and other information.

NEW LANDSCAPE SERVICE COMPANY -   the Trustees reviewed our existing landscape services contract and revised the scope of work and requirements for services to our community.  Competitive bids under the new guidelines were requested from a total of seven area landscaping companies.  All bids correctly submitted as per request were thoroughly reviewed and discussed.  As the result, Red Barn Trees and Landscaping Company was awarded our 2008 landscape services contract, effective May 7, 2008.

 

The contract calls for mowing of all lawn areas, regularly scheduled weeding as needed, fertilization, trimming of trees and shrubs, and general maintenance services on a weekly basis for a monthly flat rate cost.  Some repairs to the irrigation system are included in the monthly rate and excess repairs are billed at an hourly rate plus the cost of parts as necessary.  Additional landscape services as needed will be requested by the Trustees via separate work orders and billed at agreed upon prices.

 

We continue to experience colder than normal temperatures for this time of year in Park City, coupled with a lot of rain, and even snowfall in late April, May and even June ! This has somewhat inhibited regular landscape scheduled services, but everything is being addressed and the community is greening up nicely.  The severe winter also left us with several maintenance and repair issues to be addressed, including downed signs, damaged lawn areas and damaged infrastructure. All these repairs are either now completed or in progress at this time. 

 

Your Trustees believe the new landscape contract and guidelines will provide better services to the community and more accountability for the services we are paying for.  Red Barn crews have been working diligently throughout the community doing clean up from the winter, activating the irrigation system and making all necessary repairs and other jobs as directed by the Trustees.  We are working closely with Red Barn staff to help them “learn” the community and provide all needed services and we are maintaining daily communications with them.

Dear Bear Hollow Village Owners:

 My name is Josh Szvoren and I am excited to be managing the Bear Hollow Outdoor Maintenance for this summer and hopefully the future. As many of the year round residents have noticed since being awarded the contract, we have been diligently working to clean up the mess that the long harsh winter left us with.

 Now that the pruning thatching and general cleanup are nearing an end we have also completed pressurizing and testing all of the common area irrigation systems and doing repairs as needed. The irrigation system on the property covers a huge area and has many different turn on points and valve boxes. If you notice any areas of the irrigation system that need attention please email me and we will resolve these issues promptly.

 Red Barn Trees and Landscape is looking forward to building a strong relationship with Bear Hollow Village that will be both beneficial and economical to both parties. If you have any other concerns please contact me at the information below.

NEW CLUBHOUSE MANAGEMENT COMPANY -   the Clubhouse Management and Maintenance Services Contract was also thoroughly reviewed by the Trustees and new guidelines and requirements were established.  Bid proposals from three area management companies were requested (Note: Resorts West opted not to bid for our contract renewal), received and thoroughly reviewed and discussed by the Trustees.  As the result, All Seasons Resorts & Lodging was awarded our Clubhouse Management and Maintenance Services Contract, effective June 1, 2008.  Resorts West staff assisted All Seasons staff in the transition of duties and responsibilities.  The Trustees have also been in regular contact with All Seasons staff to assist as needed.  Everything necessary for a complete transition of duties and responsibilities has been accomplished and things are up and running under All Seasons management at this time.


Unfortunately, a comprehensive inspection of the condition of the Pool resulted in the finding of excessively high readings of “calcium hardness” and “dissolved solids” in the pool water.  These conditions are compounded by the fact we have never drained and then re-filled our pool.  As a safety and precautionary measure, and for common sense general maintenance reasons, the pool was closed until all above mentioned conditions can be correctly resolved.  A pool service contractor is scheduled to drain, thoroughly clean and then refill the pool the week of June 23.  The pool should be opened and ready for enjoyment again on or about June 27.  Our apologies for any temporary inconvenience.  Please enjoy the hot tub and other Clubhouse facilities in the interim.


Also, the Clubhouse carpet was professionally cleaned on June 13 and is looking good.  New pool area signs are on order; the cctv camera system has been serviced and is up and running, all windows in Clubhouse have been cleaned inside and outside.

COMMON AREA 16 PROJECT – UPDATE –   Howie has written to the Summit County Planning Department requesting some clarifications on exactly what is needed for us to proceed with plans for this area project ; awaiting their reply at this time.

 

CALGARY PARKING LOT REPAIR PROJECT   -  the Calgary Condominium Building HOA is funding and coordinating repairs to their parking lot concrete surface. While the repairs are in progress and vehicles cannot park in their regular spaces, the Bear Hollow Village HOA has temporarily suspended No Parking rules on Bobsled Blvd. and Lillehammer Lane until the Calgary parking lot repairs are completed.  Completion is expected the week of June 23.

 

PETS POLICY – REMINDER –   please be reminded of the following information:

Nightly renters are prohibited from having pets in any unit.

 

Violators risk fines, suspension of Owner privileges, for violations of the Pets policy.

 

 NO UNSIGHTLINESS POLICY   -  Owners are reminded that the community rules, the CC &R’s, and the HOA No Unsightliness Policy require all Owners to maintain their private property residences to appropriate appearance and neatness standards.  The Trustees have noticed that many decks and log railings throughout the community are in need of maintenance (painting or staining).  Owners are requested to please take actions to clean and refinish these deck and log areas now before another winter season further deteriorates and damages these surfaces thereby requiring more expensive maintenance or replacement costs.  These repair costs are the responsibility of each individual Owner for their private property.

 

Owners can opt to perform the repairs themselves or hire a paint contractor of their choosing.  All Hamlet built decks and exterior log areas were finished with the product Superdeck 905  - color - Heart Redwood – if you would like to match the color.

For those Owners who would want a reference to a paint contractor, a suggestion would be Alta Painting , 435-513-2444 (Mike Heider).  They have done considerable work in the community for other owners with no complaints received and have offered a discount for deck cleaning and refinishing.  (Owners are free to select their own paint contractor, this info provided only as a suggestion for out of town owners).
